2. How We Protect Employee Data

We understand that handling employee data (such as names and digital signatures) requires strict security. All data is encrypted in transit and at rest, and stored on highly secure cloud servers.

We will never sell, rent, or share your employee data or compliance logs externally. Your data belongs to you. The only time this data leaves our secure servers is when you, the authorized business owner or manager, explicitly choose to export your logs to PDF to present to an Environmental Health Officer (EHO Export).

3. Safe Catering Forms & Open Government Licence

Our platform digitizes and translates the official "Safe Catering" record forms to help your business maintain compliance.

Safecater UK contains public sector information licensed under the Open Government Licence v3.0 (OGL v3.0). We utilize materials originally published by the Food Standards Agency (FSA) and Food Standards Scotland (FSS). Please note that Safecater UK is a privately owned software company and is not officially affiliated with, endorsed by, or operated by the FSA, FSS, or any UK government body.

4. Data Retention & Deletion

Food safety regulations typically require you to keep records for a specific period (often between 6 months to a year, depending on the food type). We retain your daily logs securely in your EHO export vault for the duration of your active subscription. You can export your logs to PDF at any time for your records or to present to an EHO.

If you cancel your subscription, you will be prompted to download your historical data. After a 30-day grace period, all your data including account information, kitchen logs, employee records, and digital signatures will be permanently deleted from our servers in accordance with UK GDPR.

Deleting a single kitchen is separate from subscription cancellation and after this action we will automatically package that kitchen's compliance records into a ZIP file and email a download link to your billing email address. That link, and the underlying records, remain available for 14 days, after which they are permanently deleted from our servers and cannot be recovered.
